Records Integrity Policy (HSFGR)

HSFGR exists to protect the Heritage Silky Fainting Goat through accurate registration, consistent standards, and trustworthy records. Records integrity is non-negotiable. This policy outlines expectations and consequences related to registry submissions and official records.

What “Records Integrity” Means

Records integrity means that:

  • Animal identity, ownership, and lineage are reported truthfully

  • Identification (tattoos/tags) matches the goat being registered or shown

  • Documentation submitted is authentic and complete

  • Show results and titles are reported accurately

  • Corrections are made through official channels – not through informal requests or pressure

Member Responsibilities

Members and applicants are responsible for ensuring that:

  • All submissions are accurate, complete, and legible

  • Goat identification is correct and matches the paperwork

  • Transfers reflect actual ownership changes

  • Photos/video used for evaluation are current and represent the animal honestly

  • Any known errors are disclosed promptly when discovered

Prohibited Actions

The following are considered serious violations and may result in disciplinary action:

  • Falsified or altered registration documents

  • Misrepresentation of goat identity, age, sex, or eligibility

  • Tampering with tattoos, tags, or identifying marks

  • Submitting misleading photos/video for inspection or evaluation

  • Fraudulent transfers or false ownership claims

  • Interfering with show reporting or attempting to influence official records improperly

Corrections & Record Updates

HSFGR understands that honest mistakes happen. Corrections may be made when:

  • A legitimate clerical or data entry error is identified

  • New, credible evidence supports a correction

  • The request includes sufficient documentation to verify the change

HSFGR may:

  • Correct the official record

  • Reissue an updated certificate when appropriate

    • Add notes to preserve traceability (what changed, when, and why)

Titles & Show Records

Titles and show results become part of the permanent record. HSFGR may correct or revoke titles if:

  • The title was obtained through fraud or misrepresentation

  • The goat was incorrectly entered or was ineligible

  • Official reporting was falsified or manipulated

Enforcement

Violations of records integrity may trigger penalties under the Rulebook and Conduct/Enforcement sections, including:

  • Written warning or educational notice

  • Suspension of specific privileges (showing, hosting, judging, inspections)

  • Membership suspension or revocation

  • Permanent ban for severe or repeated misconduct

  • Referral to outside authorities where required or appropriate (fraud, threats, animal welfare concerns)

Why This Matters

A registry is only as credible as its records. Protecting the herdbook protects:

  • Ethical breeders

  • Buyers and youth programs

  • The reputation and long-term viability of the Heritage Silky Fainting Goat

HSFGR will always prioritize accuracy, traceability, and integrity over convenience.
